Front Desk Administrative Assistant

Contech Engineered Solutions is seeking a Front Desk Receptionist to join our team in West Chester, Ohio. The Administrative Assistant/Receptionist welcomes visitors and operates multiline telephone, directs callers to appropriate personnel, and provides administrative and clerical support to various leaders and departments.

Primary Responsibilities

• Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries. Directs visitors by maintaining employee and department directories; giving instructions.
• Answers incoming calls, determines purpose of callers and forwards calls to appropriate personnel or department. Answers questions about organization and provides callers with address, directions, and other information.
• Orders, receives, and maintains office supplies.  Monitor and order office supplies.
• Maintaining and update company directories, territory maps and organizational charts.
• Arrange domestic and international travel, secure required documentation and prepare itineraries.
• Prepare and process expense reports for leaders.
• Provide support for meetings and events as needed, including working with vendors, securing catering, A/V equipment, drafting agenda and preparing materials.
• Provides support to multiple departments with assigned projects. 
• Performs clerical duties such as filing, photocopying, and collating. Track and ship FedEx/UPS packages as needed.
• Responsible for collecting and delivering mail to various departments. 
• Other duties as assigned.   

Required

• High School Diploma or GED; Associates Degree Preferred
• 3 years’ experience in an administrative support role with receptionist experience preferred.

• Excellent verbal and written communication skills.
• Telephone Skills - experience managing a multiline phone system.
• Excellent computer skills, experience with Microsoft Office suite; CRM experience helpful.
• Detail oriented with strong multi-tasking and prioritization skills.
• Ability to utilize time efficiently.
• Competent follow through skills.
• Committed to accuracy.
• Good interpersonal / relationship management skills.
• Ability to establish priorities, work independently, and proceed with objectives with limited supervision.
• Strong sense of professionalism and customer service orientation.
• Exceptional organizational skills.
